How Trip Requests Work

Submitting a request in the Trip Tracker Requests system is not a confirmation – it starts a review process. Transportation staff check bus and drier availability, then either approve or contact you with alternatives (modified times or a third-party motor coach quote.) Trips are assigned vehicles and drivers every Thursday. A trip is not guaranteed until we are able to confirm that a bus and a driver are scheduled.

Requests are fist-come, first-served.

 

Limited Prime Time Bus Availability

We have very limited number of Prime Time vehicles. A school distirct’s bus fleet is financed and staffed to primarily transport student trips from home and school. There is no funding or a business model to dedicate extra buses and driers for field trips. Because of this limitation, we have a very limited number of Prime Time vehicles as a majority of our fleet is transporting students either from home or school in the morning and afternoon.

 

When to Schedule

  • Non-Prime Time: 9:30am – 1:00pm (M/T/Th/F) and 4:45pm – 10:00pm – preferred whenever possible.
  • Prime Time (before 9:30am and between 1:00 – 4:45pm): Very limited availability – avoid if possible.
  • Wednesdays: Extremely limited due to late start. Call the Transportation office directly. Do not enter in TripTracker.

 

Closed Days

Within the TripTracker system, dates are closed when we receieve more requests than there are vehicles or dirvers available. TripTracker will highlight closed days in pink to signify the closure. Please do not continue to enter trip requests on the closed dates.

If you do request a bus on this date and trip is not scheduled, Transportation is not liable to assist in obtaining a refund.

 

Cancelling a Bus

A bus must be cancelled at least 24-hours prior to the time the trip departs in order to avoide cancellation charges. Please send this in writing via email to transportation@csd28j.org. You are responsible in confirming that your trip is cancelled.

 

Changes to Your Trip

Please submit any changes to your trip via email to transportation@csd28j.org at least 48-hours prior to your departure time. No changes will be accepted less than 48-hours prior to the trip day. 

Weather-related issues – call at least 2 hours before your trip to avoid cancellation charges. You can reach Transportation at 503-762-3674.

 

Trip Cycle Statuses

  • Requested: Trip entered into TripTracker – not yet reviewed.
  • Approved: Cleared by Transportation and is being scheduled.
  • Scheduled: Driver and vehicle has been assigned to your tip – trip is guaranteed.
  • Closed: Trip completed and invoicing process has begun.
  • Cancelled: Status occurs if a trip has been cancelled for some reason. There is no option to delete trips.
